About the role

 

As the Coordinator, Workplace Delivery and Equipment at the Civil Aviation Authority (CAA), you’ll support the Workplace team to deliver effective, efficient, and well-managed workplace operations. This dynamic role involves planning and coordinating the movement and setup of equipment across our workplaces, ensuring minimal disruption and efficient service delivery. You’ll also support project lifecycles, assist with procurement activities, asset tracking, vendor engagement, and the preparation of business documentation. Travel and meeting arrangements may also be required to support team operations. Your strong organisational skills and attention to detail will help keep things running smoothly across our workplace functions.

The salary band for the Coordinator, Workplace Delivery and Equipment starts at $72,593 to a maximum of $88,705.  Starting salaries are be based on knowledge, skills and experience the successful candidate brings to the role, as well as internal relativities.

 

What You’ll Bring

 

You’ll bring proven experience in administrative and coordination support, with the ability to manage competing priorities in a fast-paced environment. You’ll be confident working with systems to maintain accurate records, support reporting and analysis, and ensure day-to-day processes run efficiently. Your collaborative approach and proactive mindset will help you build effective relationships across teams and with external suppliers, contributing to the overall success of our workplace delivery.

 

To be successful in this role, you’ll need to show:

 

  • Strong attention to detail and experience maintaining accurate records across document management and asset tracking systems.
  • Demonstrated experience supporting either projects or procurement activities, including contractor coordination, documentation, and understanding of procurement processes.
  • Analytical skills to support reporting requirements, including data reconciliation, identifying trends, and contributing to ongoing contract performance monitoring.
  • Excellent interpersonal and relationship management skills, with the ability to engage confidently with suppliers and internal teams.
  • Flexibility to provide cross-team support and effectively manage competing priorities in a dynamic and fast-paced environment.
  • Proficient in Microsoft Office suite
  • Proven ability to manage a range of administrative tasks, including booking travel, scheduling meetings, processing invoices, and preparing documentation with a high level of accuracy and efficiency
